What personal data we collect
When you register for or join one of our webinars or online events, we may collect:
Your name, job title and organisation, Your email address and contact details, IP address, device and browser information, Audio/video if you choose to speak or appear on camera, Chat messages, Q&A entries or poll responses, Attendance details, duration and interaction data
How we use your data
We use this information to:
Register you for the event and send joining details, Manage the live session and moderate participation, Record the session (if applicable) and share replays with registrants, Analyse attendance and engagement for internal reporting, Send follow-up materials or related marketing (if you’ve opted in),Maintain security and comply with legal or contractual obligations
Legal basis for processing
We rely on one or more of the following lawful bases under UK GDPR:
Contractual necessity – to deliver the event you’ve registered for, Legitimate interest – to improve our events and manage participation, Consent – for optional marketing or inclusion in recordings used externally.
Who we share data with
Your data may be shared with:
Microsoft Corporation, the provider of Microsoft Teams, acting as our data processor under its standard contractual and security terms, Internal Data Direct staff involved in marketing and event delivery, Third-party partners, speakers, or co-hosts where relevant to the event.
We do not sell or rent your personal data.
International transfers
Microsoft may store or process data in the EU and US under approved transfer safeguards such as the EU–US Data Privacy Framework or Standard Contractual Clauses.
Data retention
We keep registration and attendance records for up to 12 months after the event unless you request deletion sooner.
Recordings are stored for future reference and may be used for marketing and social media content such as YouTube, unless clearly stated otherwise at registration.
Your rights
You have the right to:
Request the correction and/or deletion your data Object to or restrict the processing of your personal data by Data Direct staff involved in marketing and event delivery Withdraw marketing consent at any time Lodge a complaint with the Information Commissioner’s Office (ICO) at ico.org.uk To exercise your rights, contact privacy@data-direct.co.uk.
Security
We use Microsoft Teams’ built-in encryption and enterprise-grade security features, alongside internal access controls and staff training, to safeguard your data.
